How it works

Your procedures become your organisation’s expert. Automatically.

Naheni’s engine learns each of your systems, works out what completes each of your procedures, and maps every task onto the systems that deliver it, building the steps your staff follow. It does this for thousands of tasks at once. There is nothing for your team to write, record or review, unless a task’s route needs clarifying.

Automated mapping

Thousands of tasks. Only the exceptions come to you.

1

Learn each of your systems

The engine learns each system once: its screens, fields and controls, and how its everyday tasks are done. This can be done in your live systems, because it captures the screens, not the data in the records. What it learns is reused by every procedure that touches that system.

2

Work out what completes each procedure

The engine reads your SOPs, policies, manuals and resolved support questions, and sets out what each task needs to be complete: the rules, decisions, approvals and exceptions, and what depends on what.

3

Map the whole task onto the systems that deliver it

Each requirement is matched to the system that holds or delivers it, and the engine builds the full sequence of steps across those systems. Each Task Map is tested automatically against its source procedure before staff use it.

4

Raise only the exceptions

Where a procedure is ambiguous, a requirement has no clear home in your systems, or a step can’t be matched, it is flagged for review. Everything else goes straight into your organisation’s knowledge base.

An organisation with 1,000 recurring tasks doesn’t write 1,000 guides, record 1,000 walkthroughs or approve 1,000 maps. Its experts answer a short list of questions, and the rest is done for them.

What we need from you

No documentation project. No recordings. No sign-off on every map.

Confidentiality

As soon as we start talking, we send you a confidentiality undertaking, signed by us, covering your systems and SOPs. Nothing for you to sign.

Your existing documents

The SOPs, policies, manuals and support questions you already have. Nothing new to write.

Access to your systems

A user login to your live or test systems. The engine maps the screens, fields and controls itself, not the records inside them. Nobody needs to show us anything.

Answers to the exceptions

A short list of questions where a task’s route needs clarifying. Your experts answer those, not the whole set.

Only if you want to: tasks that aren’t written down

If a task exists only in someone’s head, they do it once with Naheni watching, and it is mapped from what they did. No script, no video, nothing to explain.

Kept current

It grows with every question and stays up to date.

When staff resolve a question Naheni hasn’t seen before, the resolution is captured and, once checked against your approved ways of working, added for the next person.

When your SOPs change or your software is updated, the affected tasks are re-mapped and only new exceptions are raised. We maintain it for you, so the answers stay correct.

An example

One sentence in an SOP. Everything staff need to do it.

“Before changing a client’s payment terms, obtain the required approval and update the billing record.”

Naheni maps
  • The requirement: which approval applies, and who can give it.
  • The decision point: when a change needs approval and when it doesn’t.
  • The sequence: approval first, billing record second, never the other way round.
  • The system steps: where to raise the approval in your approval system and which screen and fields to update in your billing system.

When someone asks how to change a client’s payment terms, they get your procedure as steps they can follow, and can be guided through it on screen across both systems.

A question we’re often asked

“Why can’t we just put our SOPs into Copilot or ChatGPT?”

A general assistant retrieves and summarises documents. It doesn’t know how your systems are configured, which screen a step happens on, or how a task moves from one system to the next. And it can’t tell an approved way of working from an out-of-date one.

Naheni works from a knowledge base that has been broken down into requirements and steps, mapped onto your actual systems and checked against your organisation’s approved procedures. Keep your general AI for general and industry knowledge. For how work gets done in your organisation, Naheni is the expert.

What your staff get

Written instructions

Your procedure as clear steps they can keep, print or share.

An answer in a chat

Ask in their own words and get your organisation’s answer, with the source procedure.

Guidance on screen

Step-by-step guidance through the task, across each system it uses.

All three come from the same knowledge base, so the answer is the same however they ask. Naheni is designed to work without reading your sensitive client data. How we protect your data →
